2. What this policy covers
This policy explains how we collect, use, store and share personal data when you use Wadsworth.app.
Wadsworth.app is a Discord bot that can join voice channels, capture audio while it is in the channel, and generate transcripts. If you are in a voice channel while the bot is in that channel, your voice may be recorded and transcribed even if you did not ask the bot to join.
Discord server administrators decide when to use the bot in their servers. They are responsible for informing participants and for making sure their use is lawful.
3. Personal data we collect
We collect personal data from Discord, from voice channel audio, and from use of our web interface.
3.1 Discord data
When the bot runs in a server or you sign in to the web interface using Discord, we may receive and store information that Discord makes available to us. This can include:
- Discord user identifiers such as a user ID
- user profile details such as username, display name, global name, and avatar
- server and channel identifiers such as guild ID and channel ID
- information about whether your Discord account was present in a voice channel while the bot was in that channel
3.2 Audio, recordings and transcripts
While the bot is in a voice channel, we may process:
- audio from the voice channel
- audio segments created from that audio
- transcripts generated from audio
- metadata linked to the session and the transcript, such as timestamps, segment and session IDs, server and channel identifiers, and speaker attribution where available
We may store audio recordings as files and store transcripts and metadata in a database. These files and database records may include identifiers such as Discord user IDs and session or segment IDs.
3.3 Web interface, usage data and logs
When you use the web interface or otherwise use Wadsworth.app, we and our infrastructure providers may process:
- IP address
- browser and device information such as user agent
- dates and times of requests
- security and diagnostic logs
Some logs may include transcript text.
3.4 Support messages
If you email us, we process your email address and the contents of your message.
4. What we use personal data for
We use personal data to run Wadsworth.app, keep it secure, and improve it.
4.1 Running Wadsworth.app
We use personal data to operate the bot and web interface. This includes joining voice channels when instructed, capturing audio while the bot is in the channel, generating transcripts, storing recordings, transcripts and metadata, and showing transcripts to eligible users.
4.2 Sign-in and access control
The web interface uses Discord login. We use Discord sign-in and Discord presence information to decide who can access transcripts and exports, to reduce unauthorised access.
We may store session data and authentication tokens if needed to keep sign-in working.
4.3 Improving and developing Wadsworth.app
We use recordings, transcripts, metadata and other data to:
- debug and fix issues
- test quality and performance
- improve features
- analyse how Wadsworth.app is used
- develop and train machine learning and other models and systems
We may do this ourselves and we may share recordings, transcripts, metadata and other data with third parties who help us with these activities.
We do not provide a product setting to switch off this use.
4.4 Safety, security and enforcement
We use data to prevent abuse, investigate issues, and enforce our Terms of Service.
4.5 Legal reasons
We may use and share data where required by law, regulation, court order, or lawful requests.
5. Our legal reasons for using personal data
Data protection law requires us to have a legal reason for using personal data. We generally rely on:
- contract, where we have a contract with you, such as if you are a server administrator using Wadsworth.app
- legitimate interests, for running Wadsworth.app, preventing abuse, keeping it secure, and improving and developing it, including model training
- legal obligations, where we must keep or disclose information
Where we rely on legitimate interests, you can object. See section 10.
6. Who we share personal data with
6.1 Providers we use to run Wadsworth.app
We use third parties to host and run Wadsworth.app. These providers may process personal data on our behalf. This currently includes:
- Discord
- Deepgram
- Cloudflare
- Oracle Cloud Infrastructure
- Neon
- AWS
We may add, remove or replace providers over time.
6.2 Third parties who help us build and improve Wadsworth.app
We may share recordings, transcripts, metadata and other data with third parties for development, analytics, research, and training machine learning and other models and systems.
6.3 Other users
Transcripts may be available in the web interface to people who were in the voice channel while the bot was in the channel. Access may be time-limited. It is currently set to 7 days from recording, but this may change.
Eligible users may be able to export transcripts. Once exported, we do not control how exported files are used or shared.
6.4 Legal and professional reasons
We may share information with professional advisers and where required for legal compliance, or to protect our rights.
6.5 Business changes
If we sell, transfer, or reorganise all or part of our business or assets, personal data may be shared as part of that transaction.
7. Where we store and process data
We store and process data in the UK and in other countries. This includes data processed by our providers.
Where transfers outside the UK require safeguards, we aim to use appropriate safeguards such as adequacy regulations or approved contractual safeguards.
You can email contact@wadsworth.app to ask for information about the safeguards we use for transfers outside the UK.
8. How long we keep data
We may keep recordings, transcripts and metadata indefinitely unless we delete them.
Limiting access in the product, such as restricting participant access after a set period, does not necessarily mean the data is deleted.
We may keep copies in backups and replicated systems for a period of time after deletion.
We may convert data into anonymous or aggregated data that no longer identifies you. This is not personal data and we may keep it.
9. Security and access
We use access controls and security measures designed to protect personal data. No system is completely secure, and we cannot guarantee absolute security.
The developer and anyone they authorise may access production data for support, operation and development.
10. Your rights
You may have rights under data protection law, including the right to:
- access your personal data
- correct inaccurate personal data
- request deletion of personal data
- restrict processing
- object to processing where we rely on legitimate interests
- receive a copy of certain data in a portable format
- complain to a regulator
These rights are not absolute. We may not be able to comply with a request in full where the law allows us to refuse, or where we need to keep data for legal or security reasons.
If you object to processing based on legitimate interests, we will consider your objection. We may continue processing where the law allows. If your objection means we cannot provide Wadsworth.app to you, you may need to stop using it.

To help us find the right data, include your Discord user ID and, if possible, the server, channel, and date of the call. We may ask for extra information to confirm your identity.
We respond to valid requests within the time limits required by law.
12. Cookies and local storage
The web interface and our providers may use cookies and similar technologies for security, access control, and keeping you signed in. Some cookies may be set by Cloudflare or other providers.
We may add analytics or other non-essential cookies in the future. Where required, we will ask for consent before using them.
Your browser may store some local settings in local storage.
13. Children
Wadsworth.app is not aimed at children. Discord’s age rules apply. If you believe a child’s data is being processed in a way that is not permitted, email contact@wadsworth.app.
14. Changes to this policy
We may update this policy by posting a new version at https://wadsworth.app and updating the dates at the top.
